Office Operations Manager

Perkins Eastman is seeking a dynamic and energetic office operations manager. The Office Operations Manager will be an integral part of the San Francisco team and culture, working closely with office leadership and staff on day to day operations. Our office currently has a staff of 55 employees and is growing as a true representation of the diverse and creative environment that is downtown San Francisco.  Within blocks of many of the thought leaders that drive Silicon Valley, our office shares in an emphasis on open collaboration, teamwork and the convergence of bold ideas  

Perkins Eastman has a diverse practice. The firm’s major clients have included universities, developers of large scale mixed use projects, US and international elementary and secondary schools, hospitals, developers of senior living, clients seeking strategic planning and urban design services, and several other client types. Our ideal candidate for this role must be highly organized, able to multi-task, and possess a positive attitude, be flexible and convey professionally our ethos and culture, while managing office operations in a fast-paced professional environment. Reporting to the Managing Principals in San Francisco, the Office Operations Manager is responsible for ensuring the efficient operation of the San Francisco office including directing and coordinating office services, performing administrative tasks and related activities.

What You Will Do:

  • Manage office administration and procedures, develop strategies to ensure effectiveness, efficiency, and safety
  • Manage relationships with central support, Firm Operations, Accounting, Human Resources, Marketing, Communication, IT; along with external vendors, service suppliers, and the like
  • Organize and participate in all-studio meetings and weekly leadership meetings
  • Perform administrative tasks for the Managing Principal(s): scheduling meetings, manage travel, preparing and submitting expense reports
  • Partnering with other office operations managers across the firm to foster a collaborative environment and supportive team structure
  • Implement office practices in conjunction with the Office Practice Leaders, Business Practice Leaders, and corporate policies
  • Ensure all legal and regulatory documents are filed and monitor compliance with laws and regulations for the office
  • Partner with HR regarding recruitment efforts, assist with onboarding/off boarding of hires, assist with scheduling training and employee integration activities
  • Responsible for coordination of deliveries, building service requests and landlord-building management interface, building access keys, security controls
  • Plan, schedule and assist with facilitating office celebrations, annual events and in-house educational activities.   
  • Provide assistance with technology requests, equipment maintenance, and interface with firm central services
  • Maintain a safe, respectful, healthy work environment following firm standards for workplace safety, business disruption mitigation and response, emergency preparedness, etc.  
  • Maintain office services by organizing office operations and procedures; reviewing and approving supply requisitions; assigning, overseeing and monitoring clerical functions and personnel
  • Promote an inclusive culture that encourages top performance and high morale
  • Maintain office efficiency by planning and implementing office systems, layouts, and equipment; including periodic reassignment of personnel seating.
  • Establish and implement standard office policies and procedures to reduce potential risks to the firm , review and adjust procedures locally to maintain efficacy of firm policies.


  • Bachelor degree in Business, Business Management or related field preferred
  • Minimum 7+ years’ experience in overseeing comprehensive administrative office functions and demonstrated experience in executing office standards
  • Familiarity with sustainable operations, certifications and workplace facilities operations a plus
  • Strong communication skills with the ability to work effectively with individuals at all levels, internally and externally, is essential
  • Experience working in a professional services firm; Architecture, Engineering, Construction and other related industries preferred
  • Exceptional time management, problem solving and organizational skills with the ability to multitask, maintain and prioritize deadlines
  • Detail oriented and comfortable working in a fast-paced office environment
  • Strong follow-through and prioritization skills, the ability to function in an evolving environment while demonstrating initiative, self-motivation and the ability to maintain a strong sense of urgency are essential
  • Must be a team player and comfortable with virtual communication
  • Ability to analyze and revise operating practices to improve efficiency
  • Proficiency in MS Office with expertise in Microsoft Word, Outlook, PowerPoint and Excel
  • Working knowledge with Deltek Vision financial software is a plus
